Terms and conditions

Please read these terms and conditions before making your booking.

Reservations - We will endeavour to get back to you as soon as possible after receiving your booking request to let you know whether the Lodge is available. All bookings, including those received through our on-line booking system, are provisional until confirmed by us.

A deposit of £100 is required to secure the booking, with the balance due six weeks before the start of your holiday. Once we have received the deposit, a contract has been entered into by you and us on these terms.

Payment by cheque or bank transfer - Cheques should be made payable to Baincraig Lodge, and sent to Sarah Scarlett, Baincraig, Leckiebank Road, Auchtermuchty, Fife KY14 7EB. Bank transfer details are on the on-line booking form. If you prefer not to book on-line, please let us know that you would like to pay by bank transfer when you make your booking. International payments incur a £9 charge to cover bank charges. This sum will be added to the final payment.

Payment by credit card - Payment may be made by credit card (Mastercard or Visa only) through HolidayRentPayment, a secure credit card payment system. Payments will be subject to a 2% supplement, which will be shown on your booking. International guests may find that the 2% credit card supplement is cheaper than the charges associated with bank transfers.

Cancellations - If you need to cancel a reservation, we will do our best to re-let the property, but there will be a £20 charge to cover administration and bank charges. If we are unable to re-let the Lodge, cancellation costs will be incurred as follows:

What is included - The rental price includes all utility costs, linen, toiletries, household materials and Wi-fi. If you are staying for two weeks, the price includes a clean and change of linen and towels on the middle Friday of your stay, unless otherwise agreed. We would be grateful if you would allow access for cleaning on that day.

Cleaning - The Lodge will be in a clean condition on arrival and we request that guests leave it in a like condition. A charge for additional cleaning may be made if the property has not been left reasonably clean.

Breakages, loss or damage - We understand that accidents happen. Please tell us of any breakages or spillages as soon as possible. We will endeavour to put the matter right as soon as possible but ultimately you are responsible for the property and its contents during your stay. If we are unable to solve matters satisfactorily you will be charged to replace damaged materials.

Recycling - We encourage our guests to recycle and use water, electricity and gas conservatively. Please use the recycling crates and bio bins in the utility area for glass, tins/plastic, paper/cardboard and food waste. If you would like the crates or bio bins emptied during your stay, please let us know, and we will empty them into the appropriate bins. Thank you.

Access - We aim not to disturb you during your stay. If you have any problems or questions, please do not hesitate to contact us. We reserve the right to enter the property at any reasonable time for the purpose of inspection, meter reading, repair work, etc. If we do need to enter the property, we will strive to agree a time with you beforehand, wherever possible.

Smoking - For safety and the comfort of future guests, Baincraig Lodge is strictly non-smoking. Candles or other naked flames are not permitted under any circumstances. Torches are provided in case of electricity cuts.

Pets - We regret we do not have the facility to accommodate pets.

Privacy policy and cookies

We are committed to ensuring the best standards of practice in all our activities. Visitors to our web site can be assured that the protection of privacy and confidentiality are given the highest priority. All personal information is collected, held and used in strict compliance with the Data Protection Act 1998.

Information collected - We do not collect any personal information from visitors to our website other than information that is knowingly and voluntarily given. Anonymous information is collected, such as the number of visitors to the website in a given period or details of properties and dates selected for online bookings, but it is purely statistical and cannot be used to identify an individual user. Cookies are not used to collect any other information from visitors to the website.

Use of information - If you provide your email address to us, you agree that we may send information to you by email in relation to Baincraig Lodge services. You will have the opportunity to unsubscribe from any such emails at any time.

We will share your details with our booking system, SuperControl, for the purpose of them delivering their service to us. For example they provide a verified reviews service called UpFrontReviews and we may ask them to send you an email invitation to submit a review about your stay.

We will NEVER sell your details to any third party. You consent to us providing your details to SuperControl in this way. You will have the opportunity to unsubscribe from any such emails at any time.

Data security - We take appropriate measures to safeguard the information we hold from unauthorised access or improper use. Our database is stored in a secure, password protected location. Only users authorised by us have access to this data.

Integrity of data - We take all reasonable measures to ensure that the information we hold is accurate. In particular we use reliable collection methods and destroy or convert any out of date data to an anonymous form. Individuals may request details of all personal information held by us so as to contest inaccurate or incomplete data, verify the information and have it corrected as appropriate.

Children - Our website is not targeted at children but in any event personal information will not knowingly be collected from children under fourteen years without parental consent.
